Standard Terms and Conditions of Temporary Holiday Accommodation at Wallowie Beach Houses

 

To maintain a great standard for our guests and maintain the neighbourhood amenity we require the below conditions to be complied with. We appreciate most will respect our property however the occasional abuse requires that we state the following conditions.

 

DEFINITIONS

  •  “Booking” means the period for which you have paid to stay at the Property.
  •  “Property” means “Wallowie Beach Houses” (Wallowie Fields or Wallowie Views) and all its fixtures, fittings and equipment.
  •  “Management” means the owners and managers of the Property.
  •  "Guests" means the persons who stay overnight in the Property during the Booking.
  • "Visitor" means a person a Guest permits to visit the Property during the Booking.

ACCEPTANCE & RESPONSIBILITY. 

  • Payment of the Deposit constitutes acceptance of all these Terms and Conditions.
  • Where there is a breach of these terms and conditions, costs will be deducted from the security bond. If costs are greater than the security bond then the person responsible for the booking is liable for any additional costs incurred.

CHECK IN/ OUT

  • Check-in time is not before 3pm (4pm in Summer) on the arrival date and check out time is not later than 10am on departure date. (Unless agreed otherwise)
  • Late departure or early arrival is subject to prior arrangement and availability and extra charges may apply.
  • You must notify Management of expected arrival time and a mobile contact number at least 5 days before arrival.
  •  Key collection/return is via property owner or if property owner is unavailable at arrival or departure time via a keysafe at the property. Your unique code provided in your arrival pack will be set on the morning of your arrival. Keys must be returned to the keysafe on departure and the code scrambled.

PAYMENT

  • An agreed deposit must be received within 2 days after the Booking is taken by Management. Bookings are not confirmed unless and until this deposit is received.
  • Payment and security bond in full must be received no later than 14 days prior to your arrival.
  • Payments of the amount due must be received in Australian $ net of any bank or other transaction charges.
  • Please ensure payments are made within the specified time limits or the Booking will be cancelled automatically without notice or liability to you. Where your stay commences in less than 2 weeks from the time of Booking, the full amount including security deposit must be paid in full immediately.
  • We accept payment by the following methods: Direct Deposit into our bank account (EFT)
  • Our bank details for payment will be advised to you within our “Confirmation of Booking” email.

CANCELLATION OR VARIATION

  • If you wish to vary or cancel your Booking, please contact us immediately by phone.
  • Cancellation if caused by the client - money paid is not refundable unless the house is re-let for the entire period. If a refund is made due to the property being relet then a $50 cancellation fee will apply.
  • A variation of the Booking which reduces the number of nights stay will be a treated as a cancellation of the Booking in respect of those nights. 
  • An administration charge of $50 will be charged for any variation or cancellation.
  • If Management is able to relet the Property for the period cancelled a further refund may be made less administration charges, commissions and expenses
  • We have a minimum nights stay policy of 2 nights (7 nights during Peak Season).  No refund will be made for a variation to the extent that it breaches our minimum night stay policy.

SECURITY BOND

  • A security bond payment of $1000 (potentially up to $2000) is required at the same time as the outstanding balance of your Booking. (14 days prior to your arrival). It will be returned via Direct Deposit to your designated account once our property has been inspected and deemed left in a similar state to your arrival and all terms and conditions have been met.
  • We agree to ensure this occurs within 7 working days of your departure.
  • Any damage, loss or expense incurred by Management as a result of your breach of these Terms & Conditions will be charged against the bond.  Examples of this include but are not limited to any breakage including windows, damage to property or furnishings or any excess cleaning requirements on top of what is normal and respectable, an extra guests beyond those declared, noise complaints and issues or any other matters deemed by Management.

UNAVAILABILITY

  • If the Property becomes unavailable for your occupancy due to unforeseen circumstances (eg. fire, storm, damage, etc) then Management will inform you immediately and endeavour to obtain suitable alternative accommodation for your occupancy; failing which any moneys paid will be refunded in full.

PARTIES & FUNCTIONS

  • Parties and Functions are strictly prohibited; a “NO NOISE” / music policy applies at all times of the day and night. The neighbours should not hear anything. This is simply a matter of respect to the owners, the neighbours and the entire neighbourhood. It is not your right to hire the property and then disturb the neighbours.
  • Breach of this condition is very serious and will result in immediate termination of contract and eviction without refund and extra charges for security, cleaning, garbage removal, wear and tear, repairs etc will apply

NO NOISE POLICY APPLIES AT ALL TIMES

  • We have a very strict NO NOISE / MUSIC policy that applies at all times of the day and night. The neighbours should not hear anything. If this condition is not adhered to termination of contract and immediate eviction and loss of security bond will occur. Swimming Pool and Spa are closed from 10pm onwards (Wallowie Views Beach House only)

LINEN AND TOWELS

  • All booking are excluding linen (sheets) and towels. Where agreed we will supply linen and towel service at an additional charge. (top sheet, bottom sheet, pillow case, bath towels, bath mats and hand towels) All bedding and linen (when supplied) must be left where supplied in the bedrooms or bath room on departure. No towels or linen are to be removed from the property. Beach towels are not included.
  • Any missing bedding, linen or towels will be charged to the renter.
  • Where linen is not supplied guests must provide their own linen and towels. Details are provided where required.

PETS

  • Pets are not allowed at the Property at anytime.

YOUR OTHER RESPONSIBILITIES

  • You must comply with all applicable House Rules and all instructions from Management and the caretakers of the Property concerning occupancy, property, health, safety and the quiet enjoyment of the Property and our neighbours.
  • You are responsible for damage, breakages, theft and loss of the Property and any part of it during your stay.   You must notify us of this immediately.  Management may recover from you repair or replacement cost (at Management's discretion)
  • Only the guests nominated and agreed in the Booking may stay in the Property overnight. If any other guests stay extra charges will apply or the agreement may be terminated immediately without refund.
  • Disturbance to our neighbours, including any noise, is prohibited and will result in termination and eviction without refund and extra charges may be made for security and other expenses. Noise complaints will see forfeiture of your security bond.
  • Before departure, all food must be removed from fridges, all rubbish put in the appropriate council rubbish bins provided, and crockery and cutlery washed and packed away.  The Property must be left in a clean and tidy condition.
  • Extra cleaning charges may be incurred for the cleaning of dirty dishes, washing machine, dishwasher, emptying the fridge, removal of excessive rubbish etc. Should the cleaning fee be more than the usual cost for cleaning the property, you will be charged the additional costs over and above the normal cleaning fee which will be deducted from the security bond. (additional fees are outlined below)
  • All furniture and furnishings must be left in the position they were in when you arrived
  • The property should be vacated on time and secured. All windows and doors are to be locked. All keys must be returned to the keysafe.
  • You are responsible for the safekeeping and replacement of accommodation keys. Duplicate keys will be provided at an additional charge of $100.
  • Loss - the owners take no responsibility for the tenant’s personal property.
  • Swimming Pool and Spa area are closed from 10pm onwards (Wallowie Views Beach House only)

 

Key Conditions to Note: (Including fees that will be deducted from your security bond)

These are key points to note to ensure you avoid paying any additional fees during your stay or after your departure. (Fees deducted are identified below)

 

SMOKING & CIGARETTE BUTTS

  • Wallowie Beach House is strictly a smoke free environment. Smoking is prohibited inside the house and games room at all times. A butt bin is located in the BBQ area for your convenience. A $250 cleaning fee will be deducted from the security bond if this condition is not adhered to.
  • Cigarette Butts - Please ensure NO cigarette butts are left anywhere on the property this includes paved areas, floors, driveway, garden beds or lawns.  All cigarette butts should be disposed of thoughtfully.  An excess cleaning fee of $250 will be charged for the picking up and removal of any cigarette butts.

COOKTOP, OVEN, BBQ & DISHES

  • The cooktop/oven & BBQ must be cleaned prior to departure and left in a similar condition as to how it was found or a $100 cleaning fee will be imposed.
  • All dishes are washed and put away, including dishwasher being emptied otherwise we will be required to deduct $100 from your bond.

WASTE & RECYCLING

  • All additional rubbish that does not fit in the 2 council bins provided (1 x large blue recycle bin and 1 x small green rubbish bin) is to be taken away with you. If excess rubbish or recycling  is not taken away then we will be required to charge a waste removal fee of $100.
  • Do not fill up the recycling bin with your rubbish, rubbish placed in the recycling bin will need to be resorted and a $100 waste removal fee will be charged. 
  • Any rubbish or recycling placed next to the council provided bins will attract a $100 waste removal fee.

SWIMMING POOL & SPA (Wallowie Views Beach House only)

  • Swimming Pool and Spa is to be respected at all times
  • Follow information found within the Property information guide.
  • Glassware is not to be taken into the pool and spa area for safety reasons.
  • Perspex wine and champagne glasses are provided for safety.
  • Pool and spa area are closed from 10pm onwards. This is for safety and to ensure avoidance of all noise issues.  

PROBLEMS OR COMPLAINTS

  • In the case of any problem or complaint, you must inform Management at the earliest opportunity so Management has the chance to rectify the situation as quickly and efficiently as possible. You must allow repair/service access to the property during reasonable hours. Failure to follow this procedure may hinder the ability of Management to rectify the problem.

TRAVEL INSURANCE

  • We recommend all guests purchase travel insurance since Management are not responsible for any injuries, illness or accidents that may occur whilst staying at our property or loss of payments due to cancellations being made by the guest.
